International Travel

Augusta University faculty, staff, and students traveling internationally may need to complete certain steps before travel, particularly when travel involves university business, research activities, university funding, grant funding, AU-owned devices, AU system access, external sponsorship, or travel to a country of concern.

The Office of Research Integrity and Security supports international travel review as part of Augusta University’s research security and compliance efforts. Travelers should aim to complete the applicable steps at least 30 days before international travel.

Faculty and Staff International Travel

Faculty and staff traveling internationally should complete the following steps, as applicable.

  1. Register International Travel
    Faculty and staff should complete the International Travel Registry form in InfoEd before international travel. Travel registration helps the university identify travel-related compliance, security, technology, funding, and disclosure considerations before departure.
  2. Review Technology and System Access Needs
    If you will travel with an AU-owned device, such as a laptop, tablet, or other equipment, or if you will need access to AU systems or networks while abroad, your travel information may be reviewed by Information Technology. Travelers who need access to AU systems, including Outlook, D2L, or other university systems, should submit a DUO International Access Request. Once submitted, international DUO access will be granted for the duration of the trip.
  3. Complete Travel Authorization, If Applicable
    If any portion of the travel will be paid by or through Augusta University, travelers must complete a Travel Authorization before travel.
    International travel requires supervisor and Executive Vice President-level approval. If any portion of the travel will be paid with grant funds, review by the Division of Sponsored Programs is also required.
  4. Address Outside Activities, If Applicable
    If the travel is related to an outside professional activity, faculty and staff must obtain prior approval through the applicable outside activities process before travel.
  5. Update Conflict of Interest Disclosure, If Applicable
    If any portion of the travel will be paid or reimbursed by an external entity, the traveler may need to update their conflict of interest disclosure in InfoEd to include externally sponsored travel. Certain exceptions may apply, such as travel sponsored by the U.S. federal government or other U.S. universities.
  6. Additional Review for Countries of Concern
    If travel involves a country of concern and the traveler intends to take AU-owned devices, take intellectual property, or access AU systems or networks, additional institutional review and approval may be required. Travel information will be forwarded for review when applicable, and the traveler will be notified once a decision has been made.

Student International Travel

Students traveling internationally should contact the Office of Research Integrity and Security if their travel involves research, university funding, grant funding, AU-owned devices, AU system access, or travel to a country of concern.

Students will be asked to provide the following information:

  • Destination city and country
  • Additional travel locations, if applicable
  • Travel dates for each location
  • Purpose of travel, such as personal travel, business, conference attendance, research, or other activity
  • Funding source, such as personal funds, Augusta University funds, grant funds, or other support
  • Whether AU-issued devices or equipment will be taken during travel
  • Serial or asset tag numbers for AU-issued devices, if applicable
  • Whether access to AU systems or networks will be needed while abroad
  • Whether the student currently receives research funding
  • Funding source and brief description of funded research projects, if applicable
  • AU email address
  • Personal email address
  • Personal phone number

Students who need access to AU systems while traveling internationally should submit a DUO International Access Request.

If student travel involves a country of concern and the student intends to take AU-owned devices, take intellectual property, or access AU systems or networks, additional institutional review and approval may be required.

International Travel and Research Security

International travel may involve research security considerations when travel includes research activities, foreign collaborations, external sponsorship, AU-owned devices, university data, intellectual property, controlled technology, or access to university systems.

Travel registration and review help identify potential concerns before travel, including:

  • Device and data security
  • Access to AU systems while abroad
  • Export control considerations
  • Externally sponsored travel
  • Grant-funded travel
  • Outside professional activities
  • Travel to countries of concern
  • Research security or disclosure obligations

Before You Travel

Before traveling internationally, travelers should consider:

  • Have I registered my international travel in InfoEd, if required?
  • Will I take an AU-owned device or equipment?
  • Will I need access to AU systems or networks while abroad?
  • Is AU or a grant paying for any portion of the travel?
  • Is an external entity paying for or reimbursing the travel?
  • Is the travel related to an outside professional activity?
  • Am I traveling to a country of concern?
  • Will I take research data, intellectual property, controlled technology, or research materials?

If the answer to any of these questions is yes, additional review or disclosure may be required before travel.
